How to audit an equipment rental invoice
An effective review is mostly reconciliation: one equipment ID, one timeline, one rate schedule, and one complete set of field records.
Gather the evidence
- Rental agreement and rate sheet
- Every invoice in the rental period
- Delivery, pickup, return, and off-rent records
- Emails approving extensions, swaps, fuel, damage, or transport
Build the equipment timeline
Match each serial or equipment ID to its delivery, off-rent request, pickup, and final return. Distinguish a request to stop rent from the contractually effective end date.
Reconcile charges
Compare daily, weekly, and monthly rates; check overlapping billing periods; trace transport, fuel, environmental, damage-waiver, tax, and damage charges to the agreement and supporting record.
Document uncertainty
A missing ticket is not proof that a charge is wrong. Record it as an open evidence request, cite the invoice page, and ask the vendor for the source.
